Overview
Kathryn Bedell, Attorney at Law, is seeking a well-spoken, dependable, and enthusiastic Office Administrator/ Receptionist to join our team. This position is vital as you will be the first point of contact for our clients, engaging with them via phone, email, and in person.
The Office Administrator/Receptionist should be well-organized with great attention to detail and possess the ability to interact with others in a professional manner. We are looking for a candidate with the skills to thrive in a fast paced, multitasking position to ensure interactions and scheduling run smoothly.
Key Responsibilities
- Serve as the first point of contact for clients and potential clients through phone and in-person interactions.
- Schedule appointments and manage correspondence with clients via phone and email.
- Handle client communications and maintain effective correspondence.
- Manage incoming and outgoing mail, including postage and express deliveries.
- Ensure the reception area and conference room are well-maintained and presentable.
- Coordinate and organize employee events and meetings.
- Maintain office supply inventory and manage marketing materials.
- Troubleshoot basic IT issues and serve as the liaison with our outsourced IT vendor.
- Prepare client intake folders, manage documents, and process payments.
- Assist in proofreading basic legal documents.
- Maintain and organize client contact information and mailing lists.
- Perform other administrative and technical duties as needed.
- Coordinate the collection and response of reviews to enhance the company’s online reputation.
Qualifications
- 0-2 years of experience in an administrative role or office setting.
- Excellent written and verbal communication skills.
- Strong attention to detail and organizational abilities.
- Comfortably interact with clients in various situations
- Proficient with computer software, including Microsoft Office.
- Tech-savvy with the ability to troubleshoot basic technical issues.
- Punctual, dependable, and capable of maintaining confidentiality.
- High degree of integrity and trustworthiness to protect client privacy.
- Strong ability to prioritize tasks and manage multiple responsibilities.
- Ability to work both collaboratively and independently.
- Personal transportation is required for occasional use.

Hours for this position are Monday-Friday 8:30am – 2:30pm, but there is potential for flexibility/ full-time for the ideal candidate. This is not a remote work opportunity.
