POSITION SUMMARY
The Front Desk Coordinator greets and processes all incoming/outgoing patients, monitors patient flow, answers telephone to company standards, schedules and confirms patient appointments, and processes insurance information. The Front Desk Coordinator uses their strong working knowledge of the Chiropractic industry to address patient inquires, solve problems, and promote services offered at the Office. The Front Desk Coordinator may be required to assist the Doctor or Chiropractic Assistants as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Ensure patients expectations are exceeded by directing and communicating patient needs effectively and efficiently.
  • Effectively answer the telephone, schedule patient appointments to ACA standards by utilizing resource scheduling (by third ring, no call is to be placed on hold longer than 60 seconds). Transcribe message for return calls (including home and daytime phone number).
  • Warmly greet incoming/outgoing patients immediately upon entering and/or leaving the office.
  • Maximize patient flow, by organizing, tracking and communicating with other associates and patients to maintain an efficient office.
  • Follow tasking hour SOP.
  • Facilitate and reschedule no shows appointments within 15 minutes of missed appointment.
  • During scheduling, communicate the use of the online intake paperwork to all new patients and/or new conditions.
  • Enter patient’s demographic, insurance information and Attorney/WC information into POS software program.
  • Verify all travel cards for same day and upcoming appointments.
  • Ensure all patients have all follow up appointments scheduled.
  • At the end of the day place the travel cards in the bin to be filed by the CA’s during the next shift.
  • Check patients out through POS, collect co-pays, co-insurance and deductible amounts owed by patient.
  • Double check at the end of the day all patients have been checked out.
  • Close & balance POS software program at the end of each shift, completing daily deposit and ensuring that it balances properly and generate end of day summary.
  • Scan checks at the last shift of the day.
  • Always maintain cleanliness and organized appearance of front desk.
  • File EOB’s as needed.
  • Check phone daily for messages and make follow up calls, as necessary.
  • Help maintain the attractive appearance of the office.
  • Attend all team meetings.
  • Participate in all training opportunities offered by Atlantic Chiropractic Associates.
  • Ensure patient sign in sheets are correct.
  • Ensure everything is turned off and the building is secured at the end of each day.
  • Monitor and complete monthly inventory order for all office supplies.
  • Other duties, as assigned.

EXPERIENCE AND QUALIFICATIONS

  • High School degree/GED preferred.
  • 1-3 years of related experience within a similar office environment.

KNOWLEDGE, SKILLS AND ABILITIES

  • Demonstrated success in a medical or office environment addressing a broad spectrum of patient requirements and preferences.
  • Demonstrated ability to establish positive patient rapport and build relationships to establish repeat patient trends.
  • Strong communication skills (oral and written) with the proven ability to manage priorities in a fast paced, environment.
  • Ability to multi-task, set priorities and ensure that patient commitments/deadlines are met.
  • Proficiency in utilization of automated equipment and systems standard to the Chiropractic industry.

PHYSICAL DEMANDS

  • This position requires the ability to communicate and exchange information, utilize equipment necessary to perform the job, and sit for periods of time.

WORK ENVIRONMENT

  • This position is performed in a traditional medical office environment.

Job Type: Full-time

Pay: $16.00 - $19.00 per hour

Expected hours: 32 – 38 per week
