Job Description:

We are seeking a highly organized and personable individual to join our team in our Client Service and Front Office Operations. This role is crucial in ensuring smooth day-to-day operations and creating a positive first impression for our clients. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to multitask in a fast-paced financial environment.

Responsibilities:

Manage and organize office operations, including handling phone calls and emails and scheduling appointments.

Assist in the preparation and distribution of financial reports, documents, and presentations.

Maintain and update client databases and records with a high level of accuracy.

Coordinate and schedule meetings, conferences, and appointments for the financial team.

Handle general administrative tasks as needed.

Collaborate with team members to ensure smooth communication and workflow within the company offices.

Provide exceptional customer service to clients and visitors.

Front Desk Management:

Greet clients, visitors, and employees in a warm and professional manner.

Manage incoming calls, route them to the appropriate person or department, and take messages when necessary.

Maintain a clean and organized reception area.

Administrative Support:

Provide administrative support to various departments as needed.

Coordinate and schedule appointments, meetings, and conference rooms.

Assist in preparing and editing documents, reports, and presentations.

Manage digital filing and organization of documents.

Client Assistance:

Assist clients with inquiries, directing them to the appropriate team members for further assistance.

Ensure client satisfaction by providing excellent service and addressing their needs promptly.

Assist with account opening paperwork and engagement agreements.

Office Supplies and Equipment:

Manage inventory of office supplies and place orders as needed.

Coordinate with IT for the maintenance of office equipment.

Mail and Correspondence:

Receive, sort, and distribute incoming mail and packages.

Prepare outgoing mail and packages, including courier services.

Qualifications:

Proven experience as an administrative assistant, office coordinator or client service role, preferably in a financial or professional services environment.

Strong organizational and multitasking skills with attention to detail.

Proficient in Microsoft Office Suite.

Excellent written and verbal communication skills.

Ability to maintain confidentiality and handle sensitive information.

Self-motivated, proactive, and able to work both independently and collaboratively.

Technologically inclined - able to multi-task via multiple software and digital platforms

Education and Experience:

High school diploma or equivalent; additional education or certification is a plus.

Proven experience as an office coordinator or administrative assistant, preferably in a financial or professional services environment.

Strong organizational and multitasking abilities.

Excellent verbal and written communication skills.

Proficiency in MS Office suite.
