Job Description

Position: Part-Time Receptionist
Location: 100% On Site

Seattle Clinical Research Center (SCRC) is a dedicated clinical trial investigative site. SCRC has successfully executed hundreds of multi-specialty Phase I-IV medical device and biopharma clinical trials since 1991 and has particular expertise in women’s health-related drugs and medical devices as well as migraine and vaccine studies.

As a Receptionist at SCRC, you will be the first point of contact for patients and visitors to our medical facility. Your primary responsibility will be to greet patients, schedule appointments, manage incoming calls, and ensure the smooth operation of the front desk area. You will also assist with administrative tasks to support the efficient functioning of the medical office. This is a part-time, hourly role, with a range of 26-32 hours per week, depending on clinic need.

Essential Job Functions will include, but are not limited to:

Front Office:

  • Answer incoming phone calls and route as needed.
  • Assist with scheduling appointments for patients.
  • Be welcoming and greet all patients and vendors when they enter our office.

Patient Services:

  • Assist patients with registration and intake processes.
  • Create charts for new patients as necessary.
  • Input new subject information into CTMS (Clinical Trial Management System).
  • Manage incoming calls with patients.
  • Direct calls to correct personnel or take detailed messages.
  • Make appointment reminder calls and call out to late arrival patients.
  • Ensures timely responses to phone messages and emails.
  • Sort and distribute inbound mail and faxes.
  • Print stamps and mail letters.
  • Close office at end of workday.

Operational:

  • Assist with office supply inventory oversight, placing orders as delegated.
  • Assist with coordinating monthly all-staff lunches and birthday celebrations.
  • Assist with vendor management as needed.
  • Print and distribute the next day’s schedule for the provider.
  • Assist with occasional office related projects as needed.

In order to be eligible for this position, you should:

  • Have excellent communication skills and a pleasant and helpful demeanor.
  • Have strong attention to detail and organizational skills.
  • Knowledge of Microsoft office applications (Word, Excel, Outlook, Teams)
  • Have a high school diploma or GED.
  • At least 1 year’s work experience in an office or health care related field is preferred.

Job Type: Part-time

Pay: $22.00 - $26.00 per hour

Expected hours: 26 – 32 per week
