Job Description

The CCK Operations Support Staff (OSS) will be an active member of the administration unit, which supports the enrollment, growth, and well-being of the students, employees, volunteers, and clients. This team member will be an excellent communicator and problem solver who can manage multiple tasks in an ever-changing workspace. The OSS will assist the Executive Director (ED) and Family Services Coordinator (FSC) to execute the CCK vision for a diverse learning environment that builds upon each child’s uniqueness and where employees thrive. Essential Functions & Duties

· Program & Operations Support

- Receive and manage all routine telephone calls, give out information about the program, greet visitors, and assist with tours as needed.

- Assisting admin and teaching staff with office duties, making copies, sorting materials for classrooms, etc.

- Assist in maintaining brochures, signage, and proper information display for families and state agencies.

- Keep inventory of supplies for the office, housekeeping, breakroom, etc., managing the weekly orders of diapers, formula, and more.

- General housekeeping duties – keeping the main office and school entryways clean, organized, etc.

- Maintain school library (check-in and out process).

- Manage the daily break schedule for classroom and support staff, securing coverage for absences, meetings, etc.

- Substitute for admin, classroom, support, or kitchen staff, as needed.

- Help supervise children as needed during high-risk activities and school events.

- Assist with afternoon pickup of students.

- Close school at 5:30 p.m. Mon.-Fri.

· Administrative Support

- In collaboration with the FSC, assist with managing attendance records, monthly service statistics, and state reimbursement forms.

- Assist with Community Action Committee (CAC) and Child and Adult Care Food Program (CACFP) forms, scholarship applications, and state certificates, submitting updated reports to the ED and FSC monthly or as needed.

- Assist in maintaining student files, ensuring all compliance with DHS and state requirements.

- Assist the FSC and ED with clerical, marketing, communication, and other center needs.

- Perform other duties as assigned by the Executive Director and Family Services Coordinator.

Required Qualifications

· High School Diploma or equivalent and at least three (3) years of experience in administration and/or clerical work.

· Prior experience in early education administration or child-related social services agency and working with families and children in a diverse environment.

· Prior experience working with the DHS, childcare licensing requirements, and community organizations that provide advocacy and funding services to children and families.

· Demonstrates strong customer service and management skills, excellent written and oral communication skills, and experience supporting coworkers and leaders.

· Excellent computer skills and familiarity with varying platforms and technology for communication, social media, and reporting (standard office equipment, CRM, Microsoft Office, Canva, Google Workspace, Facebook, Instagram, etc.).

Salary and Schedule

· Hourly: Starting at $15 per hour, depending on experience.

· Schedule is Monday-Friday, 10:00 a.m.-6:00 p.m. (includes an unpaid 1-hour break), with occasional evening or weekend hours for special events and professional development.

Job Type: Part-time

Pay: $14.00 - $15.00 per hour
