Overview:
We are an entrepreneurial and rapidly growing financial services firm seeking an exceptional Administrative Assistant. This role requires an individual with excellent administrative, computer and organizational skills, and a strong background in accounting. The ideal candidate should be a self-starter, an efficient multi-tasker that remains unflappable under pressure, comfortable working in a small company environment, and who exhibits a high level of confidentiality and reliability. There is future growth opportunity to take on additional operations related duties assisting in servicing client accounts and client reporting.
Responsibilities:
- Manage sensitive and confidential business/personal matters and assist with special projects.
- Perform bookkeeping tasks across multiple companies using QuickBooks, including intercompany transactions.
- Draft, produce, and edit correspondence and documents.
- Develop spreadsheets and presentations, utilizing Excel and PowerPoint.
- Handle financial transactions including accounts payable, processing bank wire transfers, deposits, and account reconciliations.
- Maintain physical and digital filing systems to ensure efficient organization.
- Schedule meetings, greet clients/visitors, and manage multiple calendars.
- Oversee the procurement and management of office supplies and track vendor service visits.
- Provide general office support including faxing, copying, filing, telephone coverage, and managing mail.
- Handle reception duties, prepare and review bills, and manage vendor relationships.
Requirements:
- Minimum of 5 years of administrative experience, with preference given to those with experience in the financial services industry.
- Proven accounting and bookkeeping skills; experience with finance industry accounting highly regarded.
- Excellent verbal and written communication abilities; proficient phone etiquette.
- Strong organizational skills with the ability to multi-task and handle stressful situations.
- Independent worker able to exercise sound judgment and anticipate needs without specific instructions.
- High level of proficiency in Microsoft Office (Word, Excel, Outlook), QuickBooks, and internet applications. Familiarity with website maintenance and PowerPoint is a plus.
- Demonstrated ability to work both independently and under direction, with a willingness to take on operations duties and learn new skills.
