Job Overview



Responsible for all administrative and clerical functions reporting to a Vice President level executive. Perform other duties as assigned.




Essential Functions



  • Coordinate distribution of incoming/outgoing communications (emails, memos, letters, reports, newsletters and phone calls).
  • Manages the calendar for leader using Outlook, screens and directs incoming phone calls.
  • Provides Administrative and Clerical support for special projects, thinking through each step of the project and finding solutions.
  • Manages internal and external meetings, tracks responses to meeting requests, prepares and distributes meeting materials, arranges all necessary technology including web and video conferencing, ensures coordinates ordering and delivery of catering.
  • Demonstrates good judgement, discretion and confidentiality of sensitive information.
  • Schedules and organizes travel, department activities including coordinating meeting space and catering as needed.
  • Reconciles travel and monthly expenses. Submits expense reports.
  • Establishes, develops and maintains the filing system.
  • Maintain office supplies and order as needed.
  • Deliver personalized support with a variety of tasks related to the leaders working life.
  • Provide Ad Hoc reporting/presentations and coordinate special projects as needed.
  • Regular, dependable attendance and punctuality.


Competencies



  • High School Diploma or equivalent.
  • Must be proficient in Excel, Word, Outlook and PowerPoint.
  • Must have effective written and verbal communication skills.
  • Basic math functions such as addition, subtraction, multiplication, and division.
  • Must have Accounting skills.
  • Must be able to work independently with minimal supervision.
  • Sense of urgency, outstanding follow up skills and the ability to problem solve.
  • Attention to detail and effective organization skills.
  • Critical thinking and analytical skills.
  • Ability to maintain confidentiality.
  • Works harmoniously and effectively with others as part of a team.
  • Ability to work a flexible schedule based on department/company needs.


Physical Requirements



  • Regular walking, standing, hearing and talking.
  • May occasionally involve stooping, kneeling or crouching.
  • Involves close vision, color vision, depth perception and focus adjustment.
