Administrative Assistance provide routine administrative and secretarial support to the State Adjutant including reception activities, correspondence, reports, and records maintenance. May perform duties of a sensitive and confidential nature.

Essential Functions:

● Operate personal computer to access the internet, e-mail, electronic calendars and other office support software

● Type correspondence and reports using personal computer

● Locate and compile information, written correspondence, reports and tables/charts using knowledge of legal or other technical terms

● Answer telephone, screen callers, relay messages, greet visitors and answer general questions

● Process Incoming U.S. Postal Mail

● Process All Incoming Faxes

● Take minutes During Board of Directors, Executive Committee and Charitable Foundation meetings.

● Reporting in Excel Spreadsheets.

● Daily and Weekly Email Communications on behalf of Department and State Adjutant

● Pick up and deliver materials as required

● Operate office equipment such as photocopier and facsimile machine

● Perform other support staff activities as directed by the State Adjutant

Essential Skills and Experience:

● 2 Years’ experience require

● High school diploma (or equivalent)

● Understanding of modern office procedures and methods including telephone communications, office systems and keep record

● Must have good communication skills. Professionally and diplomatically, communicate with people inside/outside the organization. This communication of information can be exchanged in person, in writing or by telephone, facsimile or e-mail

● Experience with Microsoft Office Suite (proficient level skills preferred)

● Able to type 50 words per minute or more accurately

● Veteran preference preferred

● Physical Demands: Job requires sitting up to eight hours a day and standing up to two to four hours a day. Body movement primarily in hand and arm functions associated with normal office activities. Hand and eye coordination, and hand dexterity is required for handwriting and keyboarding over prolonged periods of time. Requires occasional lifting and/or carrying of no more than 25 pounds, and bending, squatting, pushing and pulling.

● Work Environment: The noise level in the work environment is usually minimal.

Job Type: Part-time

Pay: $17.00 - $20.00 per hour

Expected hours: 24 per week
