As part of a multidisciplinary team, the Administrative Assistant reports directly to the Program Director and provides clerical, administrative, and programmatic support that facilitates operations for the Homeless Prevention Services team. This position requires an individual with excellent attention to detail and strong organizational and computer skills. It also requires an ability to interact and provide customer service and support to clients, staff, and visitors.


QUALIFICATIONS:

  • 2 years of administrative experience in an office setting
  • Experience working in a social service environment is a plus
  • Ability to work a 5-day workweek in person, onsite
  • Some college preferred
  • Excellent phone presence, etiquette and professionalism
  • Ability to multi-task while remaining flexible, with attention to detail
  • Ability to meet deadlines with minimal supervision
  • Proficient in Microsoft Word, Outlook, PowerPoint, and Excel
  • Knowledge of all basic office equipment required
  • Excellent verbal and written communication skills
  • Ability to utilize multiple client-based platforms and generate relevant reports
  • Strong organization and time management skills
  • Ability to perform complex administrative tasks
  • Understanding of contract compliance requirements is considered helpful
  • Culturally sensitive and able to work with a multicultural client/customer population
  • Ability to work as part of a team and maintain professional boundaries


RESPONSIBILITIES/ESSENTIAL FUNCTIONS:

  • Provide general office and administrative support and assistance to the Homeless Prevention Program, and to other site-based programs as needed
  • Provide general information and referral as needed
  • Provide initial phone contact for potential clients and enter referral information into client database
    • Maintain and update client database and files as needed
    • Enter data into multiple internal, funder, and other reporting platforms
    • Assist with/facilitate fiscal maintenance tasks such as preparing check requests, managing petty cash, and tracking gift card distribution
    • Assist with preparing for program audits, compiling reports for funding sources, and performing other reporting functions as needed
    • Facilitate monthly billing process for contractors and vendors
    • Make room reservations and schedule activities
    • Open, sort and distribute mail and other printed materials; mail letters to clients and facilitate other correspondence
    • Maintain inventory and order supplies
    • Create and maintain after-hours call schedule
    • Perform other related projects and duties as assigned
